Full coordination with the executive management or whoever is acting on behalf of the executive director, to implement all required work tasks, follow up and ensure the implementation of these tasks, communicate with all departments, communicate circulars to those concerned, prepare minutes, follow up on the preparation of reports and deliver them on time, prepare daily schedules and coordinate them with the management and relevant persons.
Responsibilities
1. Perform all secretarial duties for the Executive Director's office (mail, scheduling appointments, organizing the office, etc.)
2. Follow up on the implementation of all projects and programs directly related to the Executive Director, as authorized by the Executive Director.
3. Prepare minutes of meetings for the Executive Management and the Board of Directors.
4. Follow up on the paper and electronic archiving process for the Executive Management.
5. Prepare reports for the Executive Director and assist with preparing reports for the Board of Directors.
6. Prepare agendas for meetings of program, project, and unit supervisors with the Executive Director.
7. Coordinate with the directors of the Authority's offices in the governorates.
8. Prepare drafts of official letters and communications issued by the Executive Management.
9. Implement all requests within the scope of their work.
Qualifications
1. A university degree is required, with preference given to graduates of the same or related majors (business administration, translation), or any administrative major.
2. At least two years of work experience in the same field.
3. Preference will be given to those with work experience in the humanitarian sector and non-governmental organizations.
4. Experience with computers and all MS Office programs, particularly Excel, Word, and Outlook, at a very good level.
5. Excellent command of the English language.
6. Good communication, organizational, follow-up, and time management skills.
7. High accuracy in work and the ability to detect errors.
8. Good report writing skills.
